Boardroom AV Checklist: What to Plan For
Share
A boardroom carries more scrutiny than any other meeting space in a building, which makes it the room where AV mistakes are most visible: and most expensive to fix after the fact. This checklist covers the decisions worth making deliberately, before any equipment is ordered.
Size the Display to the Room, Not the Wall
Display size should be calculated from the distance of the furthest seat, not how much wall space is available. A display that's technically large enough to fill a wall can still be too small for someone at the far end of the table to read comfortably during a presentation.
Plan Audio for the Table, Not Just the Room
Boardroom audio needs to capture every voice around the table clearly, which usually means a ceiling or table microphone array rather than a single built-in microphone. Echo cancellation is non-negotiable for any boardroom that runs video calls regularly: without it, remote participants hear a noticeably worse experience than the room itself does.
Decide How Much Automation You Actually Want
One-touch control of displays, lighting, and blinds from a single panel is a common boardroom expectation, but it depends on the room's electrical infrastructure supporting it. It's worth deciding early whether you want this level of integration, since retrofitting control wiring after a room is finished is far more disruptive than planning for it upfront.
Confirm Video Conferencing Platform Alignment
If your organization has standardized on Microsoft Teams or Zoom, certified boardroom hardware for that platform gives you reliable one-touch meeting joining. Mismatched or uncertified hardware is a common source of boardroom AV complaints that are actually platform compatibility issues, not hardware failures.
Think About Cable Management Early
A boardroom's finish matters as much as its function. Floor boxes, in-wall conduits, and furniture cable channels keep the room free of visible cable clutter, but they need to be planned during design, not added as an afterthought once furniture is already in place.
Don't Skip the Site Survey
Every item above depends on the room's actual acoustics, power availability, and layout: which is why a proper site assessment, not a generic package, is the foundation of a boardroom that actually works.
